  • T-4 months. Site walk - footprint map, power, freight gate, ADA route, rain plan.
  • T-10 weeks. Site plan and permit packet submitted to the city; COI and W-9 returned.
  • T-6 weeks. Vendor row, food-truck roster, and festival talent finalized.
  • T-3 weeks. Final gate count, ride inventory locked, crew roster published.
  • T-1 week. Venue recon, anchoring survey, signage printed, radios tested.
  • Load-in. Crew on-site 8-12 hours ahead - inflate, anchor, sound-check, badge in.

When should I book my DFW festival?

Spring festival weekends (March-May) and fall festival weekends (September-November) typically book six to twelve months out. City days and school fairs with locked dates should reach out the moment the park or campus contract is signed. Winter Christmas markets fill by mid-summer.

Do you handle city permits and COIs?

We return COIs with additional-insured wording for the city, park, school district, HOA, or private venue inside one business day. We do not pull the city’s SUP for you, but we supply the vendor-side paperwork, site plan, and anchoring engineering your permit desk needs.

Can you produce both the midway and the mainstage?

Yes. Stage, line-array PA, monitor mix, wireless mic for the mayor or head pastor, plus midway, rides, carnival games, concessions, and the branded photo row - all on one contract, one COI, and one crew lead on radio for event day.

How small or large can you scale?

We have staged 500-guest PTA fall carnivals with a 6-game midway and one inflatable, and 50,000-gate city days with trackless trains, a mainstage, a 15-food-truck lane, and zone captains on radio. Pricing scales per-attendee and per-attraction, not in flat tiers.

Can you work with a volunteer-run event?

Absolutely. PTA fall carnivals, megachurch Trunk-or-Treats, and HOA town days lean on volunteers for game booths and prize rows. We supply the rig, train volunteers at load-in, and keep a paid crew lead on radio so the volunteer team can stay in the booth.
