What size tent do I need for my event?
Plan on roughly 10 sq. ft. per guest for a cocktail reception, 12-15 sq. ft. per guest with dining tables and chairs, and 18-20 sq. ft. per guest if you want a dance floor, bar, and DJ inside the tent. A 20×40 frame tent seats ~80 for dinner; a 40×60 handles ~200. Tell us the guest count and we’ll size it to the venue and wind rating.
Do you deliver, set up, and tear down - or is it self-pickup?
Full delivery, setup, and tear-down is the default for tents, stages, dance floors, and heaters - anything that has to be leveled, anchored, or staked to code. Smaller items like tables, chairs, and concession machines can be delivered and picked up at your door. Setup windows are booked in a 2-hour arrival range and we confirm by text the day before.
Can you heat or cool an outdoor event?
Yes - we stock patio-style propane mushroom heaters, tent-rated radiant heaters, and industrial blowers for winter events, plus outdoor misting fans and tent-rated industrial fans for July and August afternoons. Fuel and 20-amp circuit needs are quoted up front; we handle propane delivery so nobody’s running to the hardware store.
Do you carry insurance and issue COIs for equipment rentals?
Yes. Every rental is covered under our commercial general liability policy and we issue Certificates of Insurance naming your venue as additional insured at no extra cost. Send us the venue’s requirements (additional insured wording, waiver of subrogation, coverage limits) when you book and we turn it around within one business day.
How far in advance should I book event equipment?
Tent weekends in October, May, and early December book 6-8 weeks out - sometimes sooner for 40-ft and larger frames. Tables, chairs, dance floors, and concessions can often drop in 2-3 weeks out for mid-sized events. Large festival and corporate-picnic equipment packages should lock dates 6-8 weeks ahead so we can stage inventory and schedule the install crew.
