Can you handle a Fortune-500 campus event end-to-end?
Yes - it’s one of our two most-booked formats (alongside city festivals). We run turnkey scope for HQ campuses across Legacy, Las Colinas, Cypress Waters, Alliance, and Downtown Dallas/Fort Worth: one coordinator, one PO, one COI. We handle the event-scope kickoff call, venue site-walk, permit coordination, vendor consolidation, run-of-show, on-site crew, radios, and tear-down. For recurring Fortune-500 clients we keep campus site-maps, preferred-vendor credentials, and Net-30 invoicing terms on file so re-booking is same-week. How fast can you issue a Certificate of Insurance (COI) for our venue?
Within one business day for any DFW venue - often same afternoon. We carry commercial general liability above the standard $1M / $2M aggregate, umbrella to $5M, auto liability, workers’ comp, and equipment coverage. Send the venue’s requirements (additional-insured wording, waiver of subrogation, primary-and-non-contributory, coverage limits) with your event date at the quote stage and the COI turns around fast. Do you provide a W-9 and can you invoice on Net-30 or Net-45 terms?
Yes. W-9 comes with the first invoice, or the same afternoon your accounts-payable team requests it. Our default terms are a signed contract plus a deposit at booking (scope-dependent, typically 25-50%) and balance net of event. For established corporate clients, Fortune-500 campuses, and municipal customers we routinely invoice Net-30 or Net-45 with PO reference numbers. We bill through purchase-order systems (Coupa, SAP Ariba, Oracle iProcurement, ReqLogic) as long as your AP team onboards us as a vendor.

What’s the minimum and maximum event size you’ll quote?
Minimum - about 80 guests for a dedicated corporate picnic scope; smaller employee events are usually better-served by our standard event-rental pricing. Maximum - we’ve produced city festivals over a weekend drawing 40,000+ attendees, with 20+ rides, a 14-game midway, 10 concession stands, a sound stage, and a 40×80 hospitality tent. Day-of crew scales from 3 to 30+ uniformed staff depending on scope. If your event lands outside that range on either end, call anyway - we’ll either staff it or route you to the right partner.
How far in advance should we lock dates for a corporate event?
Depends on scope. City-scale festivals and Fortune-500 campus events - 10-14 weeks ahead to stage rides, turn permits, and schedule uniformed crew. Mid-sized corporate picnics (300-1,500 guests) - 8-12 weeks in spring/fall, 4-6 weeks in winter/summer. Smaller team events, grand openings, and appreciation events - often 2-3 weeks is enough. Watch-parties tied to playoff dates are by definition short-notice; we staff them.
Can you work with our event marketing agency or production partner?
Yes - roughly a third of our corporate work comes through agencies, production partners, destination-management companies (DMCs), and corporate event planners. We work white-label under agency branding when asked, issue invoices to the agency of record, and carry enough insurance to satisfy most agency’s master vendor agreements without amending our policy.
