The single most booked format we produce for DFW Family Day: a branded field-games midway laid across a corporate front lawn, atrium courtyard, or adjacent park. Employees rotate through stations with their kids, scorecards fill up, a sponsor polo gets handed out, and a clipboard-carrying coordinator keeps the whole thing moving. Scales from a 200-guest courtyard at Granite Park to a 2,000-guest lawn takeover at Toyota HQ.

The BBQ & Food-Truck Midway
The food is what employees remember Monday morning. Our coordinator books the food-truck row, sets the BBQ pit schedule, and staffs the concessions so the HR team never works the line. Think smoked brisket from a Lockhart-style pit, Tex-Mex from a Frisco food truck, Nashville hot chicken from a McKinney operator, and a dessert alley with paletas, shaved ice, mini-donuts, and kettle corn.

Lock May and early-June Saturdays 10-14 weeks ahead - that window is when Toyota, JPMorgan, Frito-Lay, and Charles Schwab run back-to-back Family Days. September and October campus picnics need 8-12 weeks. If you need a campus permit or COI with stadium-specific additional-insured wording, pad another two weeks. Late-notice picnics under 200 guests often land inside three weeks - call and we will scope same afternoon.
Weather call at 7 p.m. the night before and again three hours prior. Triggers: sustained winds above 20 mph, rain above 60%, lightning inside two hours, heat index above 100. Every contract pre-loads a 20×40 frame tent, 175,000-BTU patio heaters, misting fans, 48-inch pedestal fans, and an indoor atrium or cafeteria move-in plan. Inflatables tie down to manufacturer spec and we deflate early if wind shifts. Rain-date reschedule inside the same quarter is standard.
Yes. One coordinator scopes the day, books every vendor through our network, and closes a single invoice. That typically includes: bounce-house village, trackless train, mechanical bull, carnival-game row, BBQ or food-truck midway, face painters and balloon twisters, DJ or live acoustic, branded photo booth, tables, chairs, tents, heaters or fans, trash & recycling, and day-of staffing.
